MBX Foundation is seeking a part-time Controller. Do you have an understanding of MBX and our involvement in the community? Do you want to work with a fabulous group of individuals?

Accounts Management

● Data Entry and Record Keeping

○ Oversee accounts payable (AP) and accounts receivable (AR), ensuring that bills are paid on time and the payments are received promptly.

○ Maintain accurate and organized financial records.

○ Ensure compliance with all relevant accounting standards and regulations.

● Payroll

○ Request and track payroll for MBX staff, after school staff and summer school teachers, and contractors.

○ Process payroll bi-monthly.

○ Address any inquiries regarding payroll and W2s.

● Quickbooks Management

○ Maintain accurate and up-to-date general ledger entries.

○ Provide balances and additional GL reports.

○ Help with general QB inquiries.

● Bank Reconciliation

○ Reconcile bank statements monthly (Includes Credit Card/Square Reconciliation)

○ Identifying and resolving discrepancies and working with accounts payable/receivable when necessary.

● Oversee management of the booster club accounts.

 

Financial Systems Management

● Oversee all financial systems including Quickbooks, Billpay, Square, Active, and 6-Crickets.

● Ensure MBX is using effective financial management software and systems, and provide oversight for software and/or system upgrades and changes.

● Regularly review budgets, funding sources, and expenses to identify opportunities for cost efficiency, financial growth, and long-term stability.

● Provide strategic recommendations for improving financial health across programs.

 

Budgeting and Financial Planning

● Budget Development

○ Collaborate with the Governing Board, Executive Director and Program Managers to create and oversee MBX’s budget. This includes forecasting revenues and expenses.

● Monitor budget performance

○ Track actual income and expenses against the budget, identifying any discrepancies and making recommendations to adjust expenditures as necessary.

● Cash Flow Management

○ Ensure sufficient cash flow to meet the operational needs of MBX, managing reserves and addressing any shortfalls.

● Keep an accurate and up-to-date budget within Quickbooks.
